Apex Life Privacy Policy
Effective date: October 18, 2026
Apex Life is a daily life dashboard and AI coach from So Smart Apps LLC ("we", "our", "us"). It turns the data you choose to connect into daily scores for Sleep, Exercise, Nutrition, Work, Fun and Body, a morning briefing and a coaching plan.
This policy explains what Apex Life collects, why, and who can see it. It adds to our
general Privacy Policy; where the two differ for Apex Life, this one applies.
The short version
- Apex Life uses only the data you enter or the services you choose to connect. You can disconnect any service at any time.
- The AI coach and other AI features send the relevant parts of your data to AI providers (mainly Anthropic's Claude) to generate answers. AI answers can be wrong.
- Health data from Apple Health or Health Connect is used only to provide Apple Health/Health Connect features in Apex Life. It is never used for advertising and never sold.
- We do not sell personal information and we show no advertising. Optional subscriptions are handled by the App Store or Google Play.
Information we collect
Account information. Your email address, name and a sign-in identifier from the sign-in method you choose (for example Google or Apple). We never receive your Google or Apple password. Your profile can include goals, targets, time zone and preferences you set.
What you enter in the app.
- Goals, streaks, achievements and daily check-ins; your coach conversations and the briefings and plans generated for you.
- Nutrition: meals, foods, barcodes you scan and meal photos.
- Money: accounts and balances you add yourself, and statement files you upload (CSV or PDF) and the transactions read from them.
- Meetings: recordings you choose to make or import, with their transcripts, summaries and action items.
- Other records you add, such as saved places, wake-up alarms, place tags and biomarker readings from pictures you import.
Health data (optional). Only if you connect Apple Health (iPhone) or Health Connect (Android) and grant permission, Apex Life reads data such as steps, exercise, calories burned, heart rate, sleep, weight, body fat, nutrition, blood pressure and blood glucose to calculate your scores and coach you. Apex Life does not write to Apple Health. Health data is used only to provide Apex Life's features to you. It is never used for advertising or marketing, never sold, and not shared with anyone except as described in this policy (for example, the AI processing below).
Connected services (optional). Only after you link them, Apex Life receives data from services such as Strava, Oura, WHOOP, Withings, Garmin Connect, MyFitnessPal, ResMed myAir, Headspace, Spotify, GitHub, Google Calendar, Outlook Calendar, Gmail, Todoist, Slack, Zoom, Microsoft Teams, SmartThings, Home Assistant and OpenWeatherMap. We receive only what that service shares under the permissions you approve, such as activities, sleep, listening history, calendar events, tasks or meeting recordings. Access tokens are stored on our servers so the app can refresh your data. Disconnect any service in the app, or remove Apex Life's access in that service's settings.
Location (optional). If you turn on place logging and allow it, Apex Life uses your location, including in the background, to log visits to places you save, count outings toward your Fun score and estimate commute time. Apex Life explains this before asking for permission. Place lookups use Google Places. Turn place logging off at any time.
Device features. The camera and photo library are used for meal photos, barcode scanning and photos you share with the coach. The microphone and speech recognition are used for voice commands to the coach and for meeting recordings you start. The calendar is read for work and social events if you allow it. NFC and Bluetooth are used only to read your own place tags and beacons. Motion data is used for activity and step tracking.
Purchases. Subscriptions are processed by the App Store or Google Play and managed through RevenueCat. We receive your subscription status and an identifier, never your card number.
Diagnostics.
- Crash reports are collected through Firebase Crashlytics: the error, device model, operating-system and app version, and an installation identifier.
- Usage analytics are collected through Firebase Analytics: standard events such as app opens, screens viewed and device, operating-system and app version, linked to an app-instance identifier. They are not used for advertising.
- Notifications. If you allow notifications, a push notification token for your device is saved to your account so we can deliver them.
- Bug reports. If you send one (tap the floating bug button, or shake your phone, and fill in the form), or if the app sends one automatically after an unexpected error, the report contains the description or voice-note transcript you give, an optional contact email you type, the error log, the app name, version and build number, and your device model and operating-system version, plus any screenshot or photo you choose to attach. Voice notes are turned into text by your device's speech recognition. Reports go to a So Smart Apps bug-tracking service hosted on Google Cloud.
How we use information
- To calculate daily scores, write your briefing and plan, and run the AI coach on your own data.
- To bring in data from the services you connect and show it in one place.
- To log meals, money, meetings and places when you use those tools.
- To run accounts and subscriptions, enforce AI usage allowances, and answer support requests.
- To fix bugs, keep the app secure and understand how it is used.
We do not use your information for advertising, and we do not sell it or share it for others' marketing.
AI processing
The AI coach, briefings, plans, meal analysis, statement and document reading, meeting summaries and similar features send the parts of your data needed for the request (for example your question, recent scores and logs, a meal photo, or a meeting transcript) through our servers to Anthropic's Claude AI service. Meeting audio is transcribed with Deepgram. If you add your own Anthropic API key, requests run on your key; the key is stored encrypted and is never shown back to the app. These providers process the requests under their own terms. AI output can be wrong; each AI answer has a Report button.
Who can see your information
- You. Your data is private to your signed-in account.
- Team workspaces and household members. If you create or join a team or add household members, the meetings, action items and other items you choose to share there are visible to its members.
- Other So Smart Apps apps you use. Apps such as The Big Two, So Smart Pantry, So Smart Plants, CarePaws, FilterIQ, HomeVault, VitaSync and TaxGuard can send daily summaries to Apex Life when you use them with the same email address, and you can send a shopping list from Apex Life to So Smart Cart.
- Service providers that process data for us, listed below.
- Legal and safety. We may disclose information if the law requires it, to protect someone's safety, or in a sale or merger of our business, in which case this policy continues to apply.
Service providers
- Google Firebase / Google Cloud: sign-in, database, file storage, cloud functions, push notifications, crash reporting and analytics; Google Places for place lookups.
- Anthropic (Claude) and Deepgram: AI processing and transcription described above.
- RevenueCat, with the App Store or Google Play: subscriptions.
- Food data services (Open Food Facts and USDA FoodData Central): receive barcodes or food names you look up.
- The connected services you choose, listed above.
We do not use advertising networks, and we do not track you across other companies' apps or websites.
Retention and deletion
- We keep your information while your account is active and as needed to provide the service.
- Delete your account in the app: Settings > Delete Account. You will be asked to confirm your sign-in. This removes your account and the data stored under it, including connected-service tokens, coach conversations, uploaded files and recordings.
- Cannot open the app? Email [email protected] from the address on your account. We confirm who you are, delete the account and reply within 30 days.
- Cancelling a subscription is separate: manage it in your App Store or Google Play account settings.
- Backups and logs may keep copies for a short time after deletion. Analytics and crash data are kept under Firebase's standard retention settings.
Your choices and rights
- Turn device permissions (such as location, camera, microphone, photos and notifications) on or off in your device settings at any time. Features that need a permission stop working without it.
- Edit or delete the information the app lets you manage.
- Ask us for a copy of your information, to correct it, or to delete it by emailing [email protected]. Depending on where you live (for example California), you may have additional rights. We may need to confirm who you are first.
- We do not sell your personal information and we do not share it for advertising.
Security
Data is sent over encrypted connections and stored on Google Cloud (Firebase), which encrypts it at rest. Access rules limit your records to your
signed-in account and the people you choose to share with. No system is completely secure, so keep your device updated and share only with people you trust.
Not medical or financial advice
Apex Life is for general wellness and informational use only. It is not a medical device and does not give medical or financial advice.
Children's privacy
Apex Life is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
We may update this policy. The updated version will be posted here with a new effective date, and for material changes we will tell you in the app or by email.
