TaxGuard Privacy Policy
Effective date: May 6, 2026
So Smart Apps LLC ("we", "our", "us") operates TaxGuard, a business finance
and tax compliance application. This Privacy Policy explains what information
TaxGuard collects, how we use it, and how we protect it.
Information We Collect
Account information:
- Email address and name when you create an account (via email/password, Google Sign-In, or Sign in with Apple).
- Business profile information you provide (business name, EIN, address, business type, filing status).
Financial data you enter:
- Expense records (vendor, amount, date, category, receipt images, notes).
- Income records (source, amount, date, type, notes).
- Invoice details (client information, line items, amounts, dates).
- Tax payment records (amount, date, quarter, payment method).
Bank data via Plaid:
- If you choose to link a bank account, TaxGuard uses Plaid Inc. to securely connect to your financial institution.
- We receive transaction data (merchant, amount, date, category) and account balances.
- Your bank login credentials are never transmitted to or stored on our servers. Plaid handles authentication directly with your bank.
- You can disconnect your bank at any time from Settings > Bank Accounts.
- Plaid's use of your data is governed by Plaid's End User Privacy Policy.
Location data:
- TaxGuard collects location data only when you actively track a business trip for mileage deductions.
- Location tracking runs only while the trip tracking feature is in use.
Camera and photos:
- TaxGuard accesses your camera to scan receipts and invoices using on-device OCR (Google ML Kit).
- Receipt images are stored securely in your account via Firebase Storage.
Device information:
- Device model, OS version, and app version for crash reporting (Firebase Crashlytics).
How We Use Your Information
- To provide expense tracking, income tracking, mileage logging, invoicing, and tax reporting features.
- To auto-categorize imported bank transactions for Schedule C tax reporting.
- To generate tax summaries and exportable reports.
- To send tax deadline reminders and notifications you configure.
- To improve app performance and fix bugs via anonymous crash reports.
Data Storage
TaxGuard uses Google Firebase for authentication, data storage, file storage, and crash reporting.
All data is encrypted in transit (TLS) and at rest. Your data is stored in your private Firestore
document and is only accessible to your authenticated account.
Data Sharing
We do not sell, rent, or share your personal or financial data with third parties, except:
- Plaid Inc. — processes bank connections on our behalf, subject to Plaid's privacy policy.
- Google Firebase — provides infrastructure services, subject to Google's privacy policies.
- Legal requirements — if required by law, subpoena, or valid legal process.
Data Retention and Deletion
Your data is retained as long as your account is active. You may delete your account
at any time from Settings > Delete Account. Account deletion permanently removes all
your data from our systems, including expenses, income, trips, invoices, tax payments,
bank connections, and your user profile.
Your Rights
You may request access to, correction of, or deletion of your data at any time by
using the in-app account deletion feature or contacting us at
[email protected].
Children's Privacy
TaxGuard is intended for adult business users and is not directed at children under 13.
We do not knowingly collect information from children under 13.
Changes to This Policy
We may update this policy from time to time. The updated version will be posted here.
