CarePaws Privacy Policy
Effective date: October 14, 2026
CarePaws is a pet health tracker from So Smart Apps LLC ("we", "our", "us"). It helps you keep your pets' records, reminders and
vet information in one place. This policy explains what CarePaws collects, why, and who can see it. It applies to the CarePaws apps
(iOS, Android and web) and adds to our general Privacy Policy; where the two differ for CarePaws, this one applies.
The short version
- CarePaws stores the pet records you enter and the documents and photos you add, in your account.
- We do not sell personal information, we show no advertising, and CarePaws has no purchases or subscriptions.
- Some features send limited data to service providers: Google (hosting, sign-in, nearby vet search) and Anthropic (reading scanned documents and pet food labels).
- CarePaws is a record-keeping tool. It is not veterinary advice and does not replace your veterinarian.
Information we collect
Account information. You sign in with an email link, Google, Apple or a phone number. Depending on the method, we receive your email address, your name, your phone number and a sign-in identifier from the provider. We never receive your Google or Apple password. Your name and email are also saved on each pet you create or join, so other people with access to that pet can see who you are.
Pet profiles and health records that you enter.
- Pet profile: name, species, breed, sex, color, birthday, weight, microchip number, notes and a photo.
- Vaccinations, medications and dosing, vet appointments, weight history, condition and symptom logs, pet food and feeding logs.
- Insurance policies and the insurance documents you upload.
- Health documents you scan or upload (images or PDFs), together with the text read from them and any summary you save.
Optional owner profile. If you fill it in, your name, email, phone number and address are saved to your account and used to prefill the lost-pet poster.
Location (only when you use vet search). If you tap the location button in vet search and allow it, CarePaws reads your device's approximate location once to search for veterinary clinics near you. You can also type coordinates instead. The coordinates are sent to Google to run the search. CarePaws does not save your location in your account or track it in the background.
Camera, photos and microphone. The camera and photo library are used only when you choose to photograph a document or food label or add a pet photo. The microphone and speech recognition are used only if you choose voice input when filing a bug report.
Notifications. Medication and appointment reminders are scheduled on your device. If you allow notifications, a push notification token and a platform label (mobile or web) are saved to your account.
Diagnostics and usage.
- Crash reports (iOS and Android) are collected through Firebase Crashlytics.
- Usage analytics are collected through Firebase Analytics: screens viewed and a few actions (sign-in method, adding a pet and its species, adding a vaccination, medication, appointment, weight record, condition log or insurance policy, running a vet search, generating a lost-pet poster). Firebase also records standard device and app information such as device type, operating system, app version and an app-instance identifier.
- Bug reports are sent when you submit one (for example by shaking your device and filling in the form), and the app may also send one automatically after an unexpected error. A report contains the description or voice transcript you give, an optional contact email you type, the error log, the app name, version and build number, device model and operating system version. This version of the app does not upload screenshots with reports. Reports go to a So Smart Apps bug-tracking service hosted on Google Cloud.
- AI usage counter: to cap use, we keep a count of AI requests per account per day.
How we use information
- To provide CarePaws: store and show your pet records, send reminders, share pets with people you invite, and create exports and lost-pet posters.
- To scan documents and food labels and suggest entries for you to review.
- To find veterinary clinics near you.
- To secure accounts, prevent abuse, fix bugs and understand how the app is used.
- To respond to support requests and meet legal obligations.
We do not use your information for advertising and we do not sell it.
AI processing
CarePaws uses an AI service from Anthropic for three features: reading a scanned vet document, reading a pet food label, and looking up
calories for a food you name. The app first reads the text from your photo on your device. Only that text (or the food name you typed) is sent
through our server to Anthropic; the photo itself is not sent for this purpose. Each request uses a fixed instruction set for its task, and
the result is returned to you to review before you save it. We do not keep the text you send in our server logs, only the task type and size counts.
Anthropic processes the request under its own terms and privacy policy. AI output can be wrong, so check it against the original document.
Who can see your information
- People you share a pet with. You can create a share code (valid 7 days) and give someone a co-owner, caregiver or view-only role. People with access can see that pet's records and photos and the names and emails of the other members. You can change or remove access at any time.
- Files you export or share. PDF exports and lost-pet posters are created on your device. They go wherever you choose to send them with your device's share or print options.
- Apex Life. CarePaws can send a daily summary to Apex Life, another app from So Smart Apps, matched by account email. It contains the number of pets, the number of logged activities, medication and vet-appointment counts, walk minutes and the text of notes on that day's condition logs. It is not sent to anyone else.
- Service providers that process data for us, listed below.
- Legal and safety. We may disclose information if the law requires it, to protect someone's safety, or in a sale or merger of our business, in which case this policy continues to apply.
Service providers
- Google Firebase / Google Cloud: sign-in, database, file storage, cloud functions, push notifications, crash reporting and analytics.
- Google Sign-In and Sign in with Apple, if you choose them.
- Google Places API: receives the coordinates you search from (and your device's network address) to return nearby clinics.
- Anthropic: AI processing described above.
CarePaws does not use advertising networks, and it does not track you across other companies' apps or websites.
Retention and deletion
- We keep your information while your account is active and as needed to provide the service.
- Delete records in the app. You can delete individual records, documents and whole pets in the app. Deleting a pet removes its records.
- Delete your account in the app (Settings). This removes your sign-in account and the profile data stored under it, such as your owner profile and notification tokens. Pet records are stored separately so they can be shared, so delete your pets first if you want them gone, or email us.
- Ask us. Email [email protected] and we will delete your pet records, photos and uploaded documents, including any files left after in-app deletion. We may need to confirm who you are first.
- Backups and logs may keep copies for a short time after deletion. Analytics and crash data are kept under Firebase's standard retention settings.
Your choices and rights
- Turn off location, camera, microphone and notification permissions in your device settings at any time. Some features stop working without them.
- Edit or delete any information the app lets you manage.
- You can ask us for a copy of your information, to correct it, or to delete it. Depending on where you live (for example California), you may have additional rights. Contact us to use them. We do not sell or share personal information for advertising.
Security
Data is sent over encrypted connections and stored on Google Cloud, which encrypts it at rest. Access rules limit pet records to the people
who have been given access to that pet, and the AI service can only be used by signed-in users. No system is completely secure, so keep your
device updated and share pets only with people you trust.
Not veterinary advice
CarePaws is a record-keeping tool. The records, reminders, charts and any AI-suggested entries are for your organization and convenience. They are
not veterinary advice, diagnosis or treatment, and they do not replace a licensed veterinarian. If your pet may have an emergency, contact a veterinarian or
emergency animal hospital right away. Always confirm doses, vaccination dates and other details with your vet.
Children's privacy
CarePaws is for a general audience and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
We may update this policy. The updated version will be posted here with a new effective date.
